HAMILTON HIGH WEST BAND PARENTS CLUB
GENERAL BOARD MEETING MINUTES
February 4, 2008

 

President Joanne Devine called the meeting to order at 7:05PM.

 

INTRODUCTION OF OFFICERS

President Joanne Devine read off the roll call of officers of the Hamilton High West Band Parents Club.

 

MINUTES

Frank Czepiga, Recording Secretary, provided copies of the meeting minutes from the January 7, 2008 meeting for review and comment. After a brief period for review, the minutes were voted to be accepted as presented.

 

TREASURER'S REPORT

Treasurer , Barbara Venanzi, presented the treasurer's report. As of January 31, 2008 the Band Parent's Club balance was $10,421.36 . The Student's Club balance was $12,711.70 . Barbara also provided a hardcopy of the Treasurer's report for both accounts showing the previous month's activity. After review, the Treasurer's report was voted to be accepted, as presented and filed for audit.

 

CORRESPONDENCE

There were no correspondences to read. Corresponding Secretary, Joyce Gallo, reported that we (HHWBPC) are advertising on Ch. 78 on Cablevision. Ch. 78 is the Hamilton Township School District channel and it allows school functions to advertise in a bulletin board format to show case up-coming events. Future Gift Auction and monthly Rosa 's fundraisers have been seen. The Scotto's fundraiser could be on there too.

 

COMMITTEE REPORTS

MEMBERSHIPS: Susanne Worthington, 1st Vice President in charge of membership, reported that she has reconciled to the spreadsheet given to her by Barbara Venanzi. Susanne reported that there are twenty-two (22) unpaid family memberships. Nine (9) of those unpaid memberships belong to senior members of the band. The membership drive closed out at the end of December 2007.

FUNDRAISING: 2nd Vice President in charge of Fundraising, Linda Giaquinto reported that the Joe Corbi Pizza fundraiser produced $2,118.50 in sales. About $638.25 went into the Student's accounts. 111 items were sold. Thank you to all of those students and band parents that helped unload, break down and distribute the orders on Tuesday, January 22, 2008. There are no new monthly fundraisers scheduled for the rest of the year.

ROSA's RESTAURANT: Rosa 's will donate a portion of their receipts to HHWBPC on the last TUESDAY of each month. Linda Giaquinto reported that Rosa 's again donated $200 back to the HHWBPC from January. Friends of the Worthington-Czepiga's, who joined the HHWBPC for dinner at the January fundraiser, donated another $16 to the club. The next date for this fundraiser is February 26, 2008 . Please support this “EASY” fundraiser.

SCOTTO's RESTAURANT: Scotto's will donate 20% of all receipts to HHWBPC on the 2nd TUESDAY of each month. Barbara Venanzi reported that Scotto's donated $100 back to the HHWBPC from January. The next date for this fundraiser is February 12, 2008. Please support this “EASY” fundraiser.

SUPER 50/50 TICKETS: Joanne Devine reported that a HHSW teacher, Mary Kanoc would help out with printing our Super 50/50 tickets. The paper has been ordered. Joanne Devine reported that she went to the township regarding licensing for the Super 50/50 ticket fundraiser and found out that all the dates for this fundraiser were put in wrong. She has filed an amended form with the township and it looks like the earliest we could legally schedule this fundraiser would be the Spring Concert in May 2008.

JAZZ FESTIVAL: Danielle Ingeri reported that the Jazz Festival is scheduled for Friday, February 15, 2008 beginning at 6PM. Danielle reported that she needs volunteers to report to the school at about 4PM to start cooking and setting up. Ticket prices will be $6 at the door. Student and senior prices will be $3. Each high school will be given 25 minutes to perform. Both Middle schools will get 20 minutes to perform. Crockett Middle School will not be performing. Please see Danielle if you would like to volunteer.

PASTA DINNER: Linda Giaquinto, chairperson, announced that the Pasta Dinner is scheduled for the Friday night of the annual School Play, on March 14, 2008. We will get help from the Drama Club under Ms. Amy Collins and split the proceeds 50/50 with the Drama Club. Dinner prices could be $7 or $8 by itself or $5 with show tickets. Prices not set yet. Look to start at 5PM. Volunteers are needed.

GIFT AUCTION: MaryAnn Herncane, chairperson for the Gift Auction was absent tonight, but provided Joanne Devine with an update on the gift auction progress. She has sent out requests to an extensive list of potential donators and is awaiting word back. She would like to meet on Tuesday, February 19, 2008 with anyone that is interested in helping out, to form a committee. Joanne Devine passed out her phone number and email address. Please call or email her if you can make this meeting date.

The Gift Auction fundraiser date is May 3, 2008. If you can, please support this fundraiser and volunteer if you can.

END-OF-YEAR PICNIC: Danielle Ingeri, chairperson for this event, reported that June 13, 2008 is available at the YMCA Sawmill complex for the end-of-year picnic. At the meeting, Danielle had additional literature from a place called “FROGBRIDGE” located in Millstone Township. Looks like it has potential. June 11, 2003 is open from 3PM to 8PM for “FROGBRIDGE”. Cost is $39/person, but everything is inclusive. Could be a problem with final exams and may need busing to this location. More information at next month's meeting. There is still time to decide.

NOMINATING COMMITTEE FOR EXECUTIVE BOARD 2008-2009: Danielle Ingeri reported that the committee is still canvassing all HHWBPC members for open positions for next year. They are continuing their search and will report back at next month's meeting, hopefully with successful results. If anyone is interested in serving on the E-board, please contact Danielle.

END-OF-YEAR AWARDS: Band Director, Brian Maher stated that he does not have a date for the Awards night yet.

 

NEW BUSINESS

BUDGET: Joanne Devine reported that the Club is on target with expenses and income, based upon our recent Budget review meeting.

UPCOMING FUNDRAISERS: Joanne Devine stated that there is nothing set up for the spring. It looks like we are all done for the year. It was mentioned that Easter Flowers might be a candidate for fundraising, along with Teddy Bears? Another idea floated was Crock Pot cooking as a student fundraiser? More information at next month's meeting.

EAT OUT AT CHICK-FIL-A: Joanne Devine reported that we (HHWBPC) will participate in a fundraiser on April 12, 2008 from 6:00AM until 10:00AM. It is a breakfast fundraiser. CHICK-FIL-A will donate 15% of all proceeds during that time, back to the HHWBPC. Please mark this day on your calendars and participate in this fundraiser if you can.  

ROSA'S GIFT CERTIFICATES: Joanne Devine reported that PROJECT GRADUATION is selling Rosa 's gift certificates for $10 each. PROJECT GRADUATION makes $4 on each $10 certificate. They can be purchased thru the main office at HHSW. Please see Mrs. Damon. These certificates can be used at our monthly HHWBPC fundraiser at Rosa 's on the last Tuesday of the month.

ST. PATRICK'S DAY PARADE: Joanne Devine reported that the HHSW Marching Band will participate in the annual St Patrick's Day Parade in Trenton , NJ on Saturday, March 8, 2008. The Band will play at the opening ceremonies and will be the first marching band to march in the Parade. Reporting time, parade starting time, etc, at next month's meeting.

 

BAND DIRECTOR'S REPORT

Band Director, Brian Maher distributed the latest band information to the group. Brian reported that the 2008 Band trip to NYC will be on Saturday, April 19, 2008. Cost is $160 per person. Information packets were sent home with the students. First student payment ($100) is due Friday, February 8, 2008, second pay ($60) due Friday, February 29, 2008.

If available, students may use funds from their accounts to cover the cost of this trip.

Brian also reported that he had two (2) dates for next year's Cavalcade of Bands; September 20th or October 11th. After a lengthy discussion of both dates, it was voted on to accept the September 20th date for Cavalcade. Band camp next year will be two (2) full weeks, starting August 18, 2008 and going thru August 29th. More information at next month's meeting.

 

OPEN DISCUSSION

The next HHWBPC General meeting is for Monday, March 3, 2008 beginning at 7:00PM in the Band Room.
